How to Combine Receipts Into One PDF for Expenses
By Docmint Team · · 4 min read
Collect receipt photos and PDF invoices, name them by date, merge them into one PDF in order, then compress it so it uploads to your expense system.
To build one expense PDF, put all your receipts and invoices in one folder, rename them with the date first (for example 2026-10-14_hotel_212.50.pdf), drop them into Docmint's Merge PDF, sort by name and click Merge PDF. Then run the result through Compress PDF so it stays under your expense system's or email provider's size limit.
Gather everything in one place first
Expense paperwork arrives in every format: PDF invoices from email, booking confirmations from websites, and photos of paper receipts taken on your phone. Merge PDF accepts JPG, PNG and WebP images alongside PDFs, and each image becomes its own page, so you don't need to convert photos separately before combining.
One exception: iPhones often save photos as HEIC, which most browsers cannot read. Convert those with the Convert Image tool (Safari can decode HEIC) or export them from your phone as JPG before you start.
Move every file for the claim period into a single folder. That way you can select all of them in one go, and you can see at a glance whether something is missing before you build the PDF.
Name files by date so they sort themselves
Most finance teams and accountants want receipts in date order, matching the lines of the expense report. The simplest way to get there is a naming pattern that starts with the date in year-month-day form, then the vendor, then the amount: 2026-10-03_taxi_18.40.jpg, 2026-10-03_lunch_32.00.pdf, 2026-10-14_hotel_212.50.pdf.
Because the year comes first, alphabetical order equals chronological order. In Merge PDF, the Sort A–Z button then puts everything in the right sequence in one click, even with dozens of files.
The Sort by date button is different: it uses the date your device has recorded for each file, which is usually when it was downloaded, scanned or photographed, not the date printed on the receipt. It works well for photos you took at the moment of purchase, but an invoice downloaded a week later will land in the wrong place. Date-first file names avoid that problem.
How to combine receipts with Docmint
Everything is processed in your browser, which matters for receipts that show card digits, addresses and travel plans.
- Open Merge PDF and select all the files in your expense folder (hold Ctrl on Windows or Cmd on Mac to pick several).
- Click Sort A–Z to order them by your date-first file names, then drag any stragglers into place.
- Click Merge PDF. The result is named after your first file, so rename it to something like 2026-10_expenses_your-name.pdf before downloading.
- Scroll through the merged file once and check that every receipt is there and readable.
How do I make the combined PDF small enough to upload?
A merged file is roughly the sum of its parts, and phone photos are large. Ten receipt photos can easily add up to a file that an expense tool or mailbox refuses. Many email providers cap attachments at around 20 to 25 MB, and expense systems often set their own lower limits.
Pass the merged file to Compress PDF using Continue with, so you don't have to download and re-upload it. Balanced is a good starting point; Strong works well when the bundle is mostly photos, and receipts generally stay readable on screen. Check the smallest print, such as tax lines and totals, before you submit.
If you do this every month, a pipeline that runs Merge PDF and then Compress PDF saves the extra steps. You can also describe the job to the home page assistant, for example "merge these receipts and compress the result".
Make the bundle easy for someone else to check
Whoever approves your claim has to match each line to a receipt. Two small additions help. First, run Add Page Numbers on the bundle and write the page number next to each line of your expense report ("Hotel, 212.50, p. 7"). Second, if your receipts are photos or scans, OCR PDF can add a searchable text layer so the reviewer can search for a vendor name or amount instead of scrolling.
If a receipt is printed on both sides, or a hotel folio runs to several pages, keep those pages together and in order. Organize Pages lets you fix the order after merging if something slipped.
Mistakes that get expense reports sent back
- Cut-off totals. Photograph the whole receipt, including the date, vendor and total, on a dark, flat surface.
- Sideways or upside-down pages. Fix them with Rotate PDF or Organize Pages before you submit.
- Duplicates. The same receipt photographed twice, or an invoice plus its email confirmation, can look like a double claim. Remove extras with Delete Pages.
- Password-protected invoices. Some suppliers send locked PDFs; unlock them with Unlock PDF (you need the password) before merging.
- Faded thermal paper. Photograph or scan thermal receipts soon after purchase, since the print fades over time.
