How to Add Page Numbers to a PDF

By Docmint Team · · 4 min read

Pick a format such as Page 3 of 12 or Roman numerals, choose the position, skip the cover with a start page, and stamp the numbers as real text.

To add page numbers to a PDF, open it in Docmint's Add Page Numbers, pick a format and position, set the first page to number and the starting number, check the live preview, and click Add Numbers. To leave a cover page unnumbered, start on page 2 and number from 1. The numbers are added as real text, so they print sharply and can be searched.

How to add page numbers with Docmint

  1. Open Add Page Numbers and drop your PDF. The first page shows a live preview of where the number will go.
  2. Choose a format, such as 1, Page 1, 1 / 12, a "Page 3 of 12" style, or Roman numerals (i, ii, iii or I, II, III).
  3. Choose a position: bottom center, the outside corners, or the top of the page.
  4. Set the font size and the margin from the edge of the page.
  5. Set "Start on page" and the first number, for example start on page 2 and number from 1 to skip a cover.
  6. Click Add Numbers and download the file.

Which page number format should I use?

A plain number is the most common choice and suits almost anything. "Page 3 of 12" or "3 / 12" is useful when pages may be printed and separated, such as contracts, forms and handouts, because a reader can tell at once whether a page is missing.

Roman numerals are traditionally used for front matter: the preface, acknowledgments, table of contents and similar pages before the main text. Lowercase (i, ii, iii) is the usual style there; uppercase is less common but you can choose it.

How do I skip the cover page?

Set "Start on page" to 2 and the first number to 1. The cover stays clean and the next page is numbered 1. If your document has a cover and a table of contents, start on page 3, and so on.

Alternatively, keep the conventional approach many style guides use, where the title page counts as page 1 but does not show a number: start on page 2 and number from 2. Whichever you choose, check the preview, and if you use a total such as "of 12", confirm the total matches what your readers will expect.

Roman numerals for front matter and Arabic for the body

Theses, dissertations and books often number front matter in Roman numerals and restart at 1 in Arabic numerals where chapter one begins. Each pass of the tool applies one format, so the clean way to get both is three steps: use Split PDF to separate the front matter from the body, number the front matter with i, ii, iii and the body with 1, 2, 3, then join the two parts again with Merge PDF.

Where should page numbers go?

Bottom center is the safest general choice and is common in reports and academic work. A top or bottom corner is typical in business documents. For booklets and anything printed double-sided, choose "Outside corners" so the numbers sit on the outer edge of each facing page, where they are easy to see when flipping through.

Conventions vary, so check the rules that apply to you. Universities usually publish formatting requirements for theses, and courts often specify where page numbers go on filings. Those rules take priority over any general advice. Note also that Bates numbering, the prefixed sequential identifiers used to track documents in legal discovery, is a different job from ordinary page numbering.

Troubleshooting page numbers

  1. Numbers overlap text or a footer: increase the margin, or move the numbers to a different position.
  2. Numbers too small after printing: raise the font size; what looks fine on screen can be tiny on paper.
  3. Worried the font will look different on another computer: standard fonts such as Helvetica, Times and Courier are built into every PDF reader, so numbers render identically everywhere.
  4. Pages already have printed numbers: adding more will create duplicates. Crop PDF can trim an old footer away, but check it does not remove other content.
  5. Pages are in the wrong order: fix that first with Organize Pages, then add numbers.

Other ways to add page numbers

If you still have the source document, adding page numbers in Word, Google Docs or another editor before exporting to PDF works well, and those editors handle different numbering styles per section natively. Desktop PDF editors can also stamp headers and footers onto an existing PDF. Docmint is the quicker route when all you have is the finished PDF, or when the document was assembled from several sources. Add Page Numbers accepts several files at once, and because the numbers are drawn as vector text they stay sharp at any zoom.
