How to Sign a PDF With a Drawn, Typed or Uploaded Signature
By Docmint Team · · 4 min read
Draw, type or upload your signature, place and resize it on the page, and download the signed PDF. Learn how this differs from a digital certificate.
To sign a PDF online, open Docmint's Sign PDF tool, create your signature by drawing it, typing your name in a script style or uploading a PNG of your real signature, then drag it into place, resize it and click Sign PDF. This adds a visual signature to the page, processed entirely in your browser. It is not a certificate-based digital signature.
Drawn, typed or uploaded: which signature should you use?
A drawn signature is the closest to signing on paper. You draw it on the pad with a mouse, trackpad or finger. Drawing on a phone or tablet usually gives the most natural result, because a finger or stylus moves more like a pen than a mouse does.
A typed signature turns your name into a script-style signature. It is quick, neat and consistent, which suits routine paperwork where a handwritten look is not essential.
An uploaded signature uses an image of your real signature. Sign on plain white paper with a dark pen, photograph or scan it, crop it tightly and save it as a PNG. A transparent background sits best over signature lines; an image with a white background can cover part of the line or nearby text. Drawn and typed signatures are always transparent.
How to sign a PDF with Docmint
Your document and your signature never leave your device.
- Open the Sign PDF tool and drop in the document you need to sign. The pages are shown so you can choose where the signature goes.
- Create your signature: draw it on the pad, type your name and choose a style, or upload a PNG. You can also add a date or initials.
- Drag the signature to the right spot and resize it so it fits the signature line.
- If needed, add it to more pages with "Add to all pages" or by picking pages individually.
- Click Sign PDF and download the signed document.
How to place and resize a signature so it looks right
Zoom in on the signature line and size the signature to match the surrounding text: roughly as tall as two lines of body text usually looks natural. A signature that is far too large looks pasted on, and one that is too small can be hard to recognize when printed.
Many contracts ask for initials on every page and a full signature on the last one. You can do both in one go: place your initials and use "Add to all pages", then add the full signature and the date to the final page.
Visual signature vs digital signature: what is the difference?
A visual signature, which is what Docmint adds, is an image of your signature placed on the page. It shows that you signed, in the same way a signature on paper does. In many jurisdictions, a drawn or typed signature on a PDF is accepted as an electronic signature for everyday agreements, but requirements differ by country and by type of document, so check what applies to yours.
A certificate-based digital signature is something different. It uses a digital certificate tied to your identity, usually issued by a trusted provider, to cryptographically seal the document. PDF readers can then verify who signed and show a warning if the file was changed after signing. Some organizations, regulated industries and official procedures require this kind of signature, and creating one needs specialized software or a signing service. If you are asked for a digital signature, a verified signature or a qualified electronic signature, a visual signature is not a substitute.
Is my signature stored anywhere?
Only if you choose. Ticking "Remember on this device" saves your signature in your browser's local storage so you can reuse it next time. It is never sent anywhere. On a shared or public computer, leave that box unticked.
After signing: flatten or protect the PDF
If the document also contains form fields you filled in, run it through Flatten PDF so the answers and signature are fixed into the page and display the same in every viewer. If the signed file is confidential, add an open password with Protect PDF before sending it, and share the password separately. You can pass the signed file straight to either tool with Continue with.
Other ways to sign a PDF
Preview on a Mac can capture a signature with the trackpad or camera and place it on a PDF, and free PDF readers commonly include a fill-and-sign feature. For contracts that need a full audit trail or certificate-based signatures, dedicated e-signature services are the right tool. Sign PDF is a good fit when you need to sign something quickly on any device without creating an account or uploading the document.
Common mistakes to avoid
- Signing an outdated version. Check that you have the final document before you sign.
- Uploading a small, blurry photo of your signature. Use a sharp, tightly cropped image.
- Leaving "Remember on this device" ticked on a computer other people use.
- Assuming a visual signature meets a requirement for a certificate-based digital signature.
